Privacy Policy for ForestTrack

1. Introduction: The "Trust-First" Promise

At StealthBooks, Inc. (DBA ForestTrack), we build software for forestry professionals, not advertisers. We understand that the data you manage—timber inventories, harvest plans, and financials—is your livelihood and your proprietary advantage.

This policy outlines how we handle two very different types of data:

  1. Account Data: Info about you (the forester) that we need to run your account.
  2. Service Data: The forestry and project data you upload to our system.

The Short Version: We do not sell your data. You own your forestry data. We only access your data when necessary to keep the software running.

2. The Data We Collect

A. Account Data (Information about YOU)

To create your account and manage our business relationship, we collect:

  • Identity: Name, Email Address, Username.
  • Security: Multi-Factor Authentication (2FA) configuration details.
  • Billing: We use Square to process payments. When you pay a ForestTrack invoice, you provide credit card details directly to Square. We do not collect, store, or have access to your credit card numbers.

B. Service Data (Information about YOUR WORK)

This is the data you input into ForestTrack to manage your projects (e.g., CRM contacts, project timelines, accounting entries, call notes).

  • Ownership: You retain full ownership of all Service Data. We claim no intellectual property rights over the data or client lists you manage in our platform.
  • Use Restriction: We do not use your Service Data to train public AI models, nor do we aggregate it to sell "market insights" to third parties.

3. How We Store & Share Data (Sub-Processors)

We believe in "Radical Transparency." We do not own our own servers; we use industry-leading infrastructure providers to keep your data safe.

Purpose and What they handle

  • Cloud Hosting
  • Main application database and file storage.

  • Secure storage for call notes and specific logs.

  • Payment Processing
  • Processing your subscription payments.

We have Data Processing Agreements (DPAs) in place with these providers to ensure they protect your data to the same high standard we do. We do not share your data with any other third parties (like Facebook or Google Ads) for marketing purposes.

4. Security & Least Privilege Access

Security is not an afterthought; it is our operating model.

1. Usage Analytics (What we DO look at): We monitor feature usage patterns to improve ForestTrack.

2. Least Privilege Access (Who can see what): We operate on a strict 'Least Privilege' basis. Access to the production database containing your raw Service Data is restricted on an as needed basis. We access your specific project content only in two scenarios:

  • Support: You explicitly ask us to fix a bug or resolve an issue related to that specific file.
  • Security: We are required to investigate a potential security breach or violation of our Terms.

3. No "Backdoors": We do not access, view, or modify your proprietary forestry data for our own business development or marketing purposes. Your data remain strictly confidential.

  • Encryption: All data is encrypted in transit (using TLS/SSL) and at rest (on AWS/Google Cloud servers).

5. Data Retention & Deletion

We understand that forestry consulting is a long-term business, but your data should not stay with us forever if you leave.

  • During Subscription: We retain your data for as long as your account is active.
  • Upon Cancellation: If you cancel your subscription, you have the right to export your data.
  • Hard Deletion: We delete all Service Data 30 days after the termination of your service. Please ensure you have exported your records before this window closes.

6. Your Rights (California & Beyond)

Although we are a B2B platform, we extend core privacy rights to all our users:

  • Right to Know: You may ask what specific personal data we hold about you.
  • Right to Delete: You may request that we delete your Account Data (subject to our legal obligation to keep financial records for tax purposes).
  • No Sale of Data: We do not sell personal information. We do not "share" personal information for cross-context behavioral advertising.

Children’s Privacy: ForestTrack is a professional tool intended for use by adults 18 years of age or older. We do not knowingly collect data from minors.
